What Can a MARC Mechanic Custom Clean-Up do
for your records?
CLEAN
Add missing information
We can fill in missing physical descriptions and system
details that are missing for non-book titles such as video and sound recordings.
Fix capitalization
We use a complex formula that takes into account proper names and capitalization
conventions to correct the capitalization of your records.
Remove slashes between call number parts
Some older systems used a slash (/) to separate the different parts of the call
number (prefix, classification number, item or cutter number, suffix). Most catalogers
now like to separate call number parts with a blank space. If some or all of your
call numbers have slashes where you would prefer to have blank spaces, we fix those
for you. For example, change PB/811/Lew to PB 811 Lew.
Correct Material Type
MARC mechanic can make sure that all of the records in your collection are cataloged
as the correct type of material. For example, this option can be used to correct
video recordings that were improperly cataloged as books.
Set language codes for foreign language materials
If you use special call number prefixes to distinguish your foreign language materials
(for example, SPN for Spanish or FRN for French), we can set the correct language
code in the 008 control field.
Move articles to the beginning of titles and update
non-filing indicators
If you have titles where the initial article was put at the
end of the title field instead of at the beginning, we can fix those records for
you. If we find the word ‘A’, ‘An’, ‘The’ at the end of an English title or ‘El’,
‘Lo’, ‘La’, ‘Los’, ‘Las’, ‘Un’, or ‘Una’ at the end of a Spanish title, we will
move it to the beginning of the title and set the second indicator correctly so
that your system will know to ignore the initial article when filing the item.

Remove certain fields or terminology
We can remove outdated terminology or unused “clutter”
fields from your records. Remove fields by MARC tag (e.g., remove fields 901-999)
and/or by keyword (e.g., remove all fields that contain “Accelerated Reader” except
the 526 Study Program Note field).
Standard repairs and error checking
In addition
to the custom options you select, the following standard repairs will be made to
your records:
- ISBD punctuation errors will be corrected.
- GMD (general material
designation) will be corrected.
- Non-filing indicators will be set correctly based
on the language of the work.
- Invalid indicators and control field values will
be set to default values for the material type.
- If the date or place of publication
is not coded in the 008 control field, we will use the information in the 260 field
to set the corresponding control field value.
- For video recordings and motion
pictures, if we find that the running time is not coded in the 008 control field,
we will use the information in the 300 field to set the control field correctly.
- If we find titles that begin with ‘A’, ‘An’, or ‘The’, we will set the language
control field value from undefined to English to ensure that English titles will
file in the correct order.

Truncate Dewey classification numbers
If you have records with unnecessarily
specific Dewey classification numbers, we can truncate them to a certain number
of digits after the decimal point. For example, if you specify three digits, we
would truncate 331.04136 to 331.041.
Fix Cutters
The cutter is the part of the call
number that identifies the author or title main entry for the item. (Ex. For the
author, Boston: FIC BOS, Fic Bos, and FIC BOSTON might all exist in the call number.
We correct this to your standards)
Put subject subfields in alphabetical order
We
can arrange the subfields of the 600 and 650 subject fields alphabetically. |

“Fiction” subject subdivisions
If you have the form subdivision “Fiction” in subfield x, we
can move it to the subfield v. This field is used by the Library of Congress for
subject subdivisions that describe the form or genre of the item.
“Juvenile fiction”
& “Juvenile literature” subject subdivisions
If your records contain unwanted
“Juvenile fiction” subdivisions, we completely remove or change them to “Fiction.”
If your records contain unwanted “Juvenile literature” subdivisions, we completely
remove or move them to the proper subfield.
Set minimum price
We can make sure the
prices for items in this collection are at least the minimum price you specify.
For example, if you set a minimum price of $10 and we find a price of $9, we’ll
change it to $10. However, if we find a price of $11, we’ll leave it alone.
Set price if missing
If we find items that do not have any price recorded for them,
we’ll fill in the price you specify here. |
UPDATE
Move or delete Reading Program information
The 526 field is intended to hold the name and details
of curriculum-based study or reading programs such as Accelerated Reader and Reading
Counts. If your records contain Accelerated Reader or Reading Counts information
in a different field (650, for example), we can move it to the 526 field for you.
Magic Match for Accelerated Reader®
Add, remove and verify Accelerated Reader® test information. Make sure that
the AR records in your catalog match the tests that you own.
Magic Match for Lexile®
Add the
most current and accurate Lexile® Measures to your database. LexileMatch’s accuracy
is the highest n the industry. Also available: Mitinet Measures™. Because the number
of measures in the Lexile® database is limited, Mitinet has developed Mitinet Measures™.
Our process calculates a usable measure to increase significantly the number of
titles available for your Lexile® program.
Update subject headings
We replace hundreds
of outdated Sears, Library of Congress or Children’s Library of Congress subject
headings with up-to-date terminology.
Add subject headings based on existing text
We can look at the subject headings you already have in your records and, based
on what we find, add new subject headings to the records.
Example 1: You want to
add “kid-friendly” subject headings to records that use overly technical or scientific
terms. For instance, we add the subject heading “Cars” to all records that already
have the heading “Automobiles.”
Example 2: Your district has a program called “Taking
the High Road” that deals with teen conflict resolution. We can search subject headings
for specified keywords (Violence, Hate, etc.), and add the curriculum-based subject
heading “High Road” to records in which the keywords are found. |

Update “politically
sensitive” subject headings
Examples include, but are not limited to: change ‘Negro(es),
Afro American(s), Afro- American(s)’ to ‘African American(s)’ or change ‘Indian(s)’
to ‘Native American(s)’.
Remove redundant subject headings
Sometimes a record will
have the same subject heading repeated several times because the original cataloger
wanted to include both Sears and LC subject headings, and the two happen to use
the same terminology.
We will remove the redundant subject headings, leaving only
the subject heading of the type you specify.
Remove “sears” from subfield 2
If you
choose this option, we remove the word “sears” from subfield 2 and change the value
of the second indicator (Subject heading/thesaurus) from 7 (Source specified in
subfield 2) to 4 (Source not specified).
Award notes
We can add award notes (586
field) for major awards such as Newbery and Caldecott, as well as awards specific
to your state.

OTHER OPTIONS
Merge duplicate records
A good MARC database has one
MARC record for each unique item in the collection, regardless of the number of
copies the library or centralized system has. We can identify the duplicate records
in your database, merge the holdings fields into a single MARC record, and flag
the duplicates for removal. If you choose to merge duplicates, we will help you
bring the merged records back into your system and remove the unwanted duplicates.

Set sub location/shelving location (Follett and Winnebago only)
If the items in
this collection are stored in a certain area of the library or building and you
want to record this location in the copy information, you can enter the location
here. In Follett Catalog Plus, this is referred to as the “Sub Location.” In Winnebago
Spectrum, it is called the “Shelving Location.”
Set categories (Follett only)
If
you want to assign Follett categories to the items in this collection, you can specify
the category code here. You can enter up to eight categories for each collection.
